Position:  Donor Services Coordinator

Position Type: Full-Time, Exempt 

Reports To: President & CEO

 

Summary: The Donor Services Coordinator will work with the Foundation staff, Board of Directors, Fund Advisors, and other constituents to successfully manage gifts received and grants provided through the established funds of the Foundation. The Donor Services Coordinator will also be responsible for managing the stewardship of relationships and developing opportunities for increasing the potential of new relationships. Throughout all interactions, the Donor Services Coordinator will communicate a positive image of the Foundation to ensure confidence and trust of the organization with stakeholders and the community. 

Responsibilities for this position include, but are not limited to, the following, in addition to other duties as assigned by the President & CEO. 

 

Overall Expectations

This position is required to do the following:

1. Become knowledgeable on the various fund types of the Foundation and the parameters and guidelines for gifts received and grants disbursed. This will require attending conferences and training, connecting with peer organizations, and investing significant time familiarizing oneself with community foundations in general.

2. Uphold the various policies and internal controls of the Foundation, working within the documented workflows and procedures for operations. 

3. Manage the process for new funds.

4. Abide by the agreements that have been established for the component funds and document any changes.

5. Maintain accurate records and documentation for all activities within the database and electronic files.

6. Become knowledgeable on the databases of the Foundation and ultimately be the “go-to person” for the development work for the Foundation.

7. Be respectful of all stakeholders of the Foundation and provide positive experiences for all involved.

 

This position will perform the following tasks:

 

Distributions

1. Respond to all grant recommendations from fund advisors.

2. Review the grant recommendations and determine whether the request is appropriate and within the guidelines for grantmaking of the Foundation.

3. Work with Foundation staff to process approved grants and distribute them to grantees.

4. Provide profile reports on grantmaking patterns for the Foundation and individual fund advisors, highlighting the trends in grantmaking by the Foundation as a whole and individual donor interests.

 

Gifts

1. Process all gifts received and review the appropriateness of the gift to the fund.

2. Record all gifts in the database. 

3. Provide acknowledgment letters to donors.

4. Provide reports to Foundation staff on the gifts received on a regular basis, as determined by the staff.

5. Provide profile reports on individual donors and trends of donations received.

 

Fundraising

1. Works with fund advisors and foundation staff to oversee fundraising events held by component funds and the Foundation. 

2. Utilizes the Foundation’s fundraising policy to guide the fund advisors with their events, including processing gifts received via outside fundraising software.

 

Stewardship 

1. Works with Foundation staff to provide opportunities for donors to give feedback on the Foundation’s services.

2. Works with the Foundation staff to recognize donors for their commitment to the Foundation. 

3. Works with Foundation staff to plan and implement successful educational, engagement, and other stewardship activities and events for various constituents.

4. Works with Foundation staff to maximize communication of giving opportunities that demonstrate the benefits of philanthropy for current and prospective donors, through print materials and online mechanisms.

5. Maintains records of donor information and fund documents in the Foundation’s database and electronic files.

6. Meets with donors to discuss their giving and grantmaking histories and options for continued giving and grantmaking.

The Community Foundation of the Fox River Valley is a collection of individual funds and resources given by local citizens to enhance and support the quality of life in the Fox River Valley. Foundation funds are used to provide grants to non-profit organizations and scholarships to area students.

We are a tax-exempt public charity that allows individuals, businesses, and other non-profit organizations to establish permanent endowment and temporary funds within the confines of one large foundation.

Requirements

 Qualifications

1. Highly organized, with extreme attention to detail

2. Outstanding communication and interpersonal skills

3. Proficient typing and computer skills.

4. Has extensive experience in using client relationship management databases and is motivated to be an expert in the Foundation’s database, including running reports, campaigns, and mailing lists.

5. Has experience in using Microsoft Office 365, with a level of efficiency in spreadsheet management. 

6. Ability to manage multiple tasks simultaneously

7. Ability to adapt to the increasing demands of a growing organization

8. Ability to work in a high-paced environment

9. Ability to work as a team member, collaborating with and supporting other staff as needed

10. Ability to have customer service as top priority

11. Willingness to work some evenings and weekends

12. Not-for-Profit experience preferred.

13. Bachelor’s degree preferred.

Salary Description
$60,000 - $65,000
