Summary: The Administrative Assistant is responsible for providing general administrative support for senior leadership and staff of the Foundation. The Administrative Assistant offers a welcoming and supportive environment for all the Foundation’s stakeholders.

Responsibilities for this position include, but are not limited to, the following, in addition to other duties as assigned by the Office Manager and President and CEO.

 

Primary Responsibilities

1. Prepare informational packets on the Foundation’s programs and services for stakeholders.

2. Scan gift receipts, process letters, and provide general support for the Donor Services Coordinator, including entering information on donors and prospects into the database.

4. File documents in the cloud-based electronic filing system and database.

5. Prepare materials for mailings.

6. Provide support for the scholarship and grantmaking programs such as coordinating activities, gathering information and documenting information in the databases, preparing for meetings and events, and running reports. 

8. Assist with clerical duties, such as organizing information for the Board of Directors meetings, preparing packets of materials, and updating information in the database.

9. Provide support for the marketing and communications needs of the organization, including updating reports, reviewing documents, scanning and filing, etc.

 

Regular operating hours are Monday through Friday, 8:30 am - 5:00 pm. Some weekends and evenings are required, planned in advance. This position will be required to work 20-30 hours per week.

 

Working Conditions

This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines.

 

Physical Requirements

The employee must be able to sit and/or stand for up to eight (8) hours a day. The employee is required to have close visual acuity to perform activities, i.e., preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.

The Community Foundation of the Fox River Valley is a collection of individual funds and resources given by local citizens to enhance and support the quality of life in the Fox River Valley. Foundation funds are used to provide grants to non-profit organizations and scholarships to area students. The Community Foundation of the Fox River Valley serves the City of Aurora, and Kane and Kendall Counties in Illinois. We are a tax-exempt public charity that allows individuals, businesses, and other non-profit organizations to establish permanent endowment and temporary funds within the confines of one large foundation.

 

Requirements

  Qualifications

1. Minimum of High School Diploma, Associates Degree or Bachelors Degree preferred

2. Highly organized and creative, with extreme attention to detail

3. Outstanding communication and interpersonal skills

4. Proficient typing and computer skills; knowledge of software packages including Microsoft Office 365

5. Ability to manage multiple tasks simultaneously

6.Knowledge of databases preferred.

7. Not-for-Profit experience a plus

Salary Description
$18-$20 hour
