Job Description
Ad agency in St. Charles seeks an experienced and energetic full-time assistant to support our team. The Marketing Administrative Assistant will perform a variety of marketing, administrative, and graphic design tasks to ensure that our sales efforts and advertisement development processes run smoothly. This key position requires the successful candidate to possess strong organizational and problem-solving skills, excellent written and verbal communication, the ability to multi-task efficiently and effectively in a fast-paced environment, along with solid graphic design skills.
Job Duties
  • Monitor workflow of print orders, coordinating and communicating with team members (sales team, vendors, administrative staff, contracted artists) to ensure all deadlines are met and ads are finalized accurately. 
  • Evaluate client ads and edit using Adobe Creative Cloud programs.
  • Customer service – send follow-up emails and phone calls to clients as needed.
  • Enter and process customer orders.
  • Create and prepare sales materials: sell sheets, eblast campaigns, price sheets, PowerPoint presentations, etc. 
  • Manage content for website, create social media posts, and write press releases.
  • Customer database management.
  • Backup assistance for incoming calls.
  • Other miscellaneous administrative and marketing duties.
  • 5 years of marketing and administrative experience.
  • 5 years of graphic design experience using professional graphics programs on Mac computer. Adobe InDesign and PhotoShop required. Illustrator a plus.
  • Exceptional telephone, written, and verbal communication skills.
  • Proficient with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
  • Excellent customer service and organizational skills.
  • Proficient with Constant Contact or similar email marketing service.
  • Experience with ACT! customer relationship management software experience a plus.
  • Ability to work independently with minimal supervision and also effectively as a team.
  • Eager to learn new skills and maintain a positive attitude.
  • Excellent problem solving and time management skills in fast-paced environment, while working on tight deadlines throughout each month.
  • Exceptional work ethic.
Additional Information
This is a 40-hour/week, full-time position.

In-office position with Covid-19 safety measures in place: plastic barriers around work spaces, masks, gloves, and hand sanitizer available.
Pay rate: $19/hour
