Job Description
Ad agency in St. Charles seeks an experienced and energetic part-time Administrative Assistant to support our growing office in the western suburbs. The Administrative Assistant will perform a variety of administrative and clerical tasks to assist our owners and other employees. This key position requires the successful candidate to possess strong organizational and problem-solving skills, excellent written and verbal communication, and the ability to multi-task efficiently and effectively while following specific instructions with an outstanding attention to detail.
Job Duties
  • Bookkeeping duties, including A/P, A/R, invoicing, commissions, and credit card processing.
  • Enter and process customer orders.
  • Order and manage data lists through our vendors.
  • Customer database management.
  • Answer incoming lines.
  • Maintain and order office supplies.
  • Other miscellaneous clerical duties.
  • 1 to 2 years of administrative support experience.
  • 1 to 2 years of QuickBooks experience.
  • Exceptional telephone, written, and verbal communication skills.
  • Proficient with Microsoft Office, including Outlook, Excel, and Word. PowerPoint a plus.
  • Excellent customer service and organizational skills.
  • Experience with ACT! customer relationship management software experience a plus.
  • Ability to work independently with minimal supervision and also effectively as a team.
  • Eager to learn new skills and maintain a positive attitude.
  • Excellent problem solving and time management skills.
  • Exceptional work ethic.
Additional Information
This is a 4 to 5 hour/day position. Work days are Tuesday – Friday, with some flexibility.
Job Type: Part-time
In-office position with Covid-19 safety measures in place: plastic barriers around work spaces, masks, gloves, and hand sanitizer available.
Pay rate: $15.00/hour
