Job Description
General Description:
The Event & Development Coordinator is responsible for coordinating with the advancement team all special event fundraising for the annual auction, golf outing, third party events, and other events for the organization. This position is also responsible for managing reports from the Donor Perfect Fundraising Software system maintaining the WebLink online registration and donation forms, and the coordination and research of potential donors in conjunction with the Executive Director and VP of Advancement.
The Event & Development Coordinator reports to the Executive Director and will assist with special events, donor cultivation and recognition, marketing development and the management of reports in Donor Perfect and other software applicable to fundraising. The ideal candidate will also be responsible for solicitations and development of relationships to help ensure goals and objectives are met.
History – Purpose – Direction of the Organization:
Mission Statement: CASA Kane County is a nonprofit volunteer organization that advocates for the best interests of abused and neglected children within the Juvenile Court system. CASA Kane County recruits, trains, and manages community volunteers to serve as CASA/GAL volunteers.
CASA Kane County is 30 years old, and has 17 staff members, 20 Board of Directors, 40 Chairman Advisory Panel members and nearly 300 active CASA/GAL volunteers. Our CASA/GAL volunteers are appointed to one case at a time and remain with the case until a permanent resolution has been reached. The goal of every case is to find a safe, permanent home for the child(ren) involved. The average length of a case is 3 years.
In 1977, a Seattle Superior Court Judge named David Soukup was concerned about trying to make decisions on behalf of abused and neglected children without enough information. He conceived the idea of appointing community volunteers to speak up for the best interests of these children in court. He made a request for volunteers; 50 citizens responded, and that was the start of the CASA movement.
The Event Coordinator should have the following qualifications, skills and experience:
  • Minimum of a Bachelor’s Degree;
  • Personal and Professional Integrity;
  • Minimum of 5-8 years in responsible fundraising/event experience;
  • Demonstrates experience and professionalism in public relations and marketing activities;
  • Exceptional communication skills including ability to write & speak persuasively about the program;
  • Strong organizational and time management skills;
  • Demonstrates awareness of confidentiality of donor and volunteer records;

  • Demonstrates the ability to handle multiple tasks, projects and deadlines;
  • Demonstrates analytical ability to continually improve processes and increase fundraising and development opportunity;
  • Self-starter who is goal orientated and brings a high level of energy to a dynamic team;
  • Demonstrates ability to interact positively in many different settings with the public; government officials, attorneys and other court personnel, media, funding sources, staff members, board members and advocates,
  • Experience in organizing and supporting volunteers a must;
  • Public speaking experience a plus

  • Cooperative Working Relationships:
  • The Event & Development Coordinator reports to the Executive Director and works collaboratively with the VP of Advancement, Marketing Manager, Executive Office Administrator and Administrative Assistant as needed. The Event & Development Coordinator is involved with the Chairman’s Advisory Panel, Major Gifts Committee, Golf Committee, Auction Committee and other committees as needed.

  • Primary responsibilities and relationships with other people in the organization are outlined below:
  • Manages the daily activities of the annual gala and auction, golf outing and other special event fundraisers as directed by the Executive Director.
  • Manages the POA (Plan of Action) reports with the Executive Director for the cultivation and solicitation of major gifts, sponsors, raffle items and in-kind donations including an appropriate budget for the organization’s ongoing special events, special projects and short and long term fundraising goals.
  • Maintains the timetable, checklist and reporting system, which will show periodically who is in charge of the current “move” for each prospect/donor for the event on the main tracking sheet and keeps each staff, committee and board member updated.
  • Manages the activities and lists of volunteers with outreach coordinator for the golf outing, auction, donor recognition and third party events with the support of the advancement team.
  • Manages the accuracy of in-kind and other donation entries within the Donor Perfect software system with VP of Advancement and Executive Office Administrator.
  • Works with the advancement team on mailings and makes follow up calls and emails to key event participants to solicit for program book ads, in-kind donation items, raffle items and guests.
  • Data management of all special event planning companies and vendors with the Executive Office Administrator such as the vent company, photographers, venue staff and others.
  • Develops and moves relationships necessary to provide effective stewardship and ongoing donations with the advancement team (i.e., thank you letters to event volunteers, committee members, etc.).
  • Responsible for setting up the WebLink online registration and donation forms with the team for each event in collaboration with the Marketing Manager and ensures the event webpages are up-to-date and live in a timely manner.
  • Regularly posts to Facebook (with the approval of the Executive Director) various Advancement initiatives and CASA happenings that includes event pictures, event registration links and other important announcements.
  • Participates in all event committee meetings and attends other community events and networking opportunities as often as possible to advance the reputation and mission of CASA.
  • Ensures timely donor communication regarding important organizational events and developments and prepares any food, copies of agendas and tracking sheets, and setup prior to every committee meeting.

  • Manages a reporting system with the Executive Director and the entire Advancement team, to provide analysis of the fundraising program on a weekly, monthly, quarterly and annual basis.
  • Experience: Our ideal candidate will have 5-8 years in development and event management experience. Excellent written and verbal communication skills. Ability to work well with people including the staff, board of directors, donors and volunteers. Self motivated with excellent time management skills. Microsoft office skills.

Education: Bachelor’s degree in a related field.
Specific knowledge or experience: Event planning, annual campaigns, direct mail, donor research, computer – Word, Excel and general database knowledge. Experience with major gift solicitation, volunteer management and recruitment, annual giving, planned gifts, and endowment preferred.
